Accounting Advisor (Faculty/Staff)
  • Oversee/assist the Accounting Coordinator
  • Understand the purchase process for cooperative supplies and sign off on purchase orders
  • Approve and monitor accounting procedures

  • Make sure taxes are paid according to the specifications of the business office
  • Be present at meetings with the accounting office
  • Initiate the proper disciplinary measures when necessary; help in the resolving of conflicts when they arise

Coordination Advisor (Faculty/Staff)

  • Oversee/assist the Organization Coordinator
  • Accept proposals for scholarship jobs
  • Sign off on all scholarship hours of student workers
  • Be a potential mediator between the administration and student cooperative members
  • Explain to inquiring students/faculty/community members what the bike cooperative is and how to become a member
  • Act as a representative of bike culture and the bike co-op to both the school and community
  • Become an integral member in assembling the bike cooperative report to be presented for Student Senate review
  • Oversee any grants that may come in
  • Make sure data collection on shop usage occurs
  • Initiate the proper disciplinary measures when necessary; help in the resolving of conflicts when they arise
  • When necessary, recruit/train the organization coordinator
  • Attend regular advisor/coordinator meetings*
Shop Advisor (Faculty/Staff)
  • Oversee/advise the head mechanics/shop coordinator
  • Understand the basics of bicycle maintenance and oversee bicycle workshops
  • Make a monthly visit to the bike cooperative’s shop; perform shop inspections
  • Initiate the proper disciplinary measures when necessary; help in the resolving of conflicts when they arise
  • Understand the purchase process for cooperative supplies and sign off on purchase orders
  • Monitor the purchase of appropriate tools/merchandise
  • Facilitate training head mechanics when gap in skills occurs (either do training yourself or bring in an appreciate visitor to do so)
  • And, when necessary, locate and/or recruit the student head/coordinator
  • When necessary, recruit/train the shop coordinator
  • Attend regular advisor/coordinator meetings *

Health/Exercise Science Advisor (additional):

  • Have a basic knowledge of bike mechanics
  • Integrate co-op resources into curriculum
  • Work with shop coordinator to arrange appropriate class visit times
  • Act as liaison between co-op and HES faculty
  • Solicit grants to support curriculum development and aid relevant course materials (like mountain bikes)
  • Attend regular advisor/coordinator meetings
Accounting Coordinator (Student/Community Member)**

Delegate the following tasks

  • Pay the insurance tab for the bike cooperative
  • Issue refunds when necessary
  • Manage all accounting files
  • Make quarterly tax payments on merchandise sold
  • Mange accounting files regularly
  • Make monthly purchases based on head mechanic requests
  • Solicit grants and donations
  • Issue in-kind and monetary donation receipts for tax exemption
  • Make regular deposits from shop to accounts
  • Attend regular advisor/coordinator meetings*
Organization Coordination (Student)**
  • Serve as the contact and representative of the Bike Co-op
  • Maintain working documents to ensure continuity over time (an organizational memory)
  • Run Core member meetings
  • Turn in core member roster to the CSI; check mailbox in CSI
  • Coordinate bike education and advocacy programs/events
  • Check and respond to emails
  • Serve as a liaison between the core members and the accounts and shop; between the community and the university
  • Recruit volunteers
  • Generate data on program attendance
  • Advertise and manage the bike rental program
  • Attend regular advisor/coordinator meetings*
Shop Coordinator (Student/Community Member)**

Coordinator can (and should) be a head mechanic as well. Additional responsibilities are to attend advisor/coordinator meetings and to delegate tasks below to head mechanics.

  • Coordinate Head Mechanics, run mechanic meetings
  • Create an open hours schedule and organize a schedule for scholarship workers and volunteers
  • Establish training program for mechanics/head mechanics (in mechanics, operating the shop and signing on new members)

  • Inspect all rental bikes for potential problems at the beginning of each semester
  • Update the membership agreement and rental agreement as necessary
  • Review loaner bikes to make sure they are adequately prepared for the next loan period
  • Make sure all loaner bikes are collected at the end of each loan period; issue refunds

  • Regularly conduct inventory of tools and merchandise; record stolen and broken tools and parts.
  • Make weekly deposits of shop cash, making sure the money goes into the proper account (see accounting procedures)
  • Keep track of merchandise that needs to be purchased (report low stock)
  • Generate data on shop use and workshop attendance (for Senate review and grant applications)

  • Manage donated bikes
  • Secure storage space for surplus bikes

Head Mechanics: Above tasks as delegated by the Shop Coordinator

Accountants**—there can be more than one co-op accountant. Duties described above can be delegated as appropriate. Organization Leadership positions

Student Senate Rep—attend Senate meetings as relevant to co-op funding and other issues; make sure appropriate money motion is passed for insurance and other items

Webmaster—improve and maintain website, monitor forum

Public Relations—advertise events, encourage and advertise membership, run bike drives at the end of the semester

Programming—plan programs for bike advocacy and education; submit FAC forms for following semester program/event funding

Historian—take pictures at events, collect publicity items, work with webmaster to get items on the website

Any jobs above that are not filled will fall under the responsibility of the Organization Coordinator

Mechanics:
  • Hold open shop hours
  • Attend training workshops
  • Make and record sales
  • Keep shop clean and orderly
  • Assist members who come into the shop
  • Work on donated bikes
  • Attend mechanic meetings as required
  • Have a basic knowledge of bike mechanics
  • Make sure members record their visit in the visit log.
  • All volunteers and scholarship workers must record their hours in the shop log.

NOTE: Individuals can fit in more than one category. Core members of the organization can be mechanics; advisors are encouraged to work outside of their “duties”.
